The Customer Service Coordinator for NXTsports will be responsible for managing the backend operations of the club and education programs. This includes answering customer questions, office management, handling payment processing, refunds, etc. Other responsibilities include but are not limited to the receiving, inventory, storage, maintenance of equipment for the Boys and Girls Clubs. Setting up equipment and assisting with the distribution of gear and equipment at education programs.


Essential Functions

External Customer Service Coordinator Responsibilities

● Handle customer questions,via email, olark or phone calls.

o Generally regarding payments, signups, waivers, roster changes, profile updates, refunds, etc.

o Follow up with parents, coaches, vendors etc with a high level of diligence, politeness, honest communication and tact.

● Create and manage the Customer Service Request Process

● Manage registration for club teams, camps, clinics and other programming.

● Answer questions that come to our generic email inboxes.

● Assist teams and players with the waiver process

● Handle club team travel, book rooms, correspond with families and help with any issues that arise

● Maintain TeamSnap, upload initial rosters, practice and tournament schedules

o Create education programs in TeamSnap, upload registrants and coaches.

● Assist with payment plans, payment reminders and credits in LeagueApps.

● Create surveys and use the data for process improvement.

● Responsible for office management

o ordering supplies, booking conference rooms, managing meetings, liaison with the building for any issues that arise.

● Maintain the calendar of events for both the Club and Education Programs.

o Import all practices, tournaments, games, etc.

o Create reminders for registration due dates, deposit dates and balance dates.


Internal Responsibilities

● Receive, inventory and store all club equipment (tents, player gear, etc.)

● Confirm delivery dates (for uniforms, equipment, bags, etc.) to ensure quality and on time delivery.

● Responsible for the distribution of all gear to players (club or education programs)

● Coordinate and handle equipment setup at club events (tryouts, camps, etc.)

o Correspond with registrants pre & post camp, prep gear and equipment, transport equipment, and unpack post-program.

● Assist the Club Directors with organizing, labeling and organizing equipment and gear in the storage facility

● Handle all waivers/rosters for NXT LC

Work Environment

This job operates in a professional office setting as well as at outdoor sporting events. You must be able to stand, kneel, or bend for an extended period of time. Lift up to 25 pounds. This role routinely uses standard office equipment such as computers, phones, photocopiers and camera equipment.

Position Type/ Expected Hours of Work

This is a full-time position with General hours from 9 AM to 5 PM Monday through Friday. You will be expected to work nights and weekends when club events require it.

Required Education and Experience

● Bachelor’s Degree from a 4-year accredited University or College
